Visa FAQ

  • All participants are requested to check for visa requirements to enter India and you may qualify for the e-conference visa or via-mail or in-person depending on where you are located. The correct type of visa to attend the ICIS 2023 conference is the “conference visa”. It is not acceptable to enter the country under a tourist visa and attend a conference. For your family/accompanying members who are not participating in the conference you may select “tourist visa” or any other appropriate visa.
  • The conference visa can also be used for tourism except in some ‘Restricted’ or ‘Protected’ areas in India.
  • For specific details on what documentations are expected from the embassy please visit the local Indian embassy. For example, Indian embassies in China, Australia, Germany and US are listed below:

All government agency links in India end with “gov.in” so you know the authenticity of the website as being governmental (or federal – as it is called in many countries).

  • The list of countries which come under Prior Reference Category (PRC) and need special prior clearance to enter India are listed here: https://conference.mha.gov.in/FAQ.aspx
  • From the Ministry of Home Affairs, Government of India webpage:
    • Participants are from Afghanistan, Pakistan, Iraq, Sudan, foreigners of Pakistani origin and Stateless persons; and Participants of conferences /seminars/workshops who are required to visit ‘Restricted’ or ‘Protected’ areas in India, or areas affected by terrorism, militancy and extremism etc.
  • All participants are encouraged to apply for Visa through nearby Indian Embassy as per the document received by the concerned embassy. This might make it easier for the embassy to understand the situation and issue conference visa.
  • Prior to the conference registration launching, you can complete the Invitation Letter Request Form. The form should be used to initiate request for travel visas. You must be an active AIS member in order to receive an invitation letter. The AIS registrar will issue the Invitation Letter within two business days upon receipt of the completed form.
  • Complete your conference registration, then, complete the Visa Letter Request Form. The AIS registrar will issue the Invitation Letter within two business days upon receipt of the completed form.

Please Note: Prior to receiving a Visa Letter you will need to complete and pay for your conference registration in full. If the requested visa is not granted, you must notify the AIS Registrar prior to the conference to request a full refund minus applicable admin fees.

AIRPORT/HOTEL TRANSPORATION FAQ

  • Yes, ICIS 2023 attendees will have the opportunity to book one-way/roundtrip airport/hotel transfers at their expense (cost TBA). This will be available later in September. Attendees will be able to share their arrival/departure information with the selected third-party and pay and communicate directly.

    This option will offer attendees the ease of securing transportation in advance. We highly encourage this option. AIS volunteers and professional staff will be present at HYD to assist with transfers.

General Conference FAQ

  • The conference will take place in India Standard Time – Hyderabad – IST (UTC +5:30).
  • Yes, the conference proceedings will be available via the AIS eLibrary
  • Conference attire will be casual and comfortable. For in-person attendees, meeting room temperatures may be cool, and climate varies, so layered clothing may provide the greatest comfort. Be sure to check the local weather for the current conditions.
  • We will do our best to accommodate your special dietary needs. Please select your special meal request from the options provided during your conference registration, prior to the conference. All special dietary requests must be made two weeks prior to the conference start date; requests made onsite will not be honored

Registration FAQ

  • For the paper to appear in the ICIS proceedings, at least one author of each paper will be required to participate in the in-person paper session and be registered for the conference by the early registration deadline of October 22, 2023. Failure to comply with this requirement will result in the removal of your paper from the ICIS 2023 proceedings.

Please note: Do not register for the virtual conference as paper presentations are in-person only.

  • Most pre-conference workshops require full conference registration. A few ancillary only meetings can be found here. Please select the appropriate ancillary only registration link.
  • To add a workshop to your full conference registration, follow this link. Click on the “Register”. You will be given a choice to create a new registration or modify your existing registration. Click “Modify”. Click “Attendee Selections”. Select the preferred Ancillary Meetings & Workshops you would like to attend. Select “Save & Proceed to Checkout”.
  • Yes, you may register and pay onsite although we strongly encourage all participants to register and pay in advance to ensure all your registration requests/needs can be met, including visa letter request. Also, all special meal requests must be submitted two weeks prior to the conference.

We accept personal checks, Electronic Funds Transfer (Wire), VISA, MasterCard and American Express. In addition, cash (US Dollars) is accepted onsite.

Please note: Conference badges will not be issued until payment is made in full. Register early to take advantage of the early registration discounts!

  • Conference registrations fees may be paid in advance or onsite but must be paid in full prior to collecting your badge and other registration materials.
  • Purchase orders are not permitted. Instead, you may complete the online registration form and select the check payment option as your form of payment and later remit payment. Please note your registration will not be processed until payment has been received. If evidence of payment is not available onsite, the participant will be given a registration badge only after a valid credit card number has been provided as a guarantee until staff returns to the office following the conference to verify payment.
  • Wire and ACH transfers are accepted. Please contact the AIS Registrar (registrar@aisnet.org) to request the transfer instructions. Next complete the online registration form, be sure to select “Check/Money Order” as your method of payment. Once your wire payment is received, we will post the payment to your registration record then send you an updated registration receipt to confirm.

Please Note: Conference badges will not be issued until payment is made in full. If evidence of payment is not available onsite, the participant will be given a registration badge only after he/she provides a valid credit card number as a guarantee until staff returns to the office following the conference to verify payment.

  • We strongly encourage all participants to complete the conference registration as soon as possible. Please click here to review registration deadlines and the applicable rates.
  • Requests for refunds or cancellations must be received in writing via email (registrar@aisnet.org) and are subject to the following schedule:
    • Received by October 22: full refund less $150 administrative fee
    • Received between October 23 – November 26: full refund less $250 administrative fee
    • Received between November 27 – December 9: full refund less $450 administrative fee
    • December 10 and onwards – no refund
  • Cancellation requests received beginning December 10 will not be eligible to receive a refund; the registrant will be liable for the full conference registration fee. This also includes workshop cancellations.
  • Guest Full Package tickets are available for purchase and include a printed badge, all conference provided meals and evening events. Or you may purchase a guest individual ticket for the individual evening events. You may pay for your guest ticket through the online registration form or make your purchase while onsite. Please note guest tickets do not include access to educational sessions.
  • To add a guest ticket to your full conference registration, follow this link. Click on the “Register”. You will be given a choice to create a new registration or modify your existing registration. Click “Modify”. Click “Attendee Selections”. Select “Save & Add Another Attendee”. Enter your guest’s information then select the guest ticket you wish to purchase (full, welcome reception, or social event). Please note that guest tickets do not include access to educational sessions. Click “Save & Proceed to Checkout” to complete the purchase of a guest ticket.

Membership FAQ

  • Student Doctoral Consortium invitees who are first time AIS membersare eligible to receive a complimentary one-year AIS student membership; please contact the Membership Director (membership@aisnet.org) to receive the promo code which you will need to complete your complimentary membership registration. If you are already a current member or have been in the past and will be renewing your membership, Doctoral Consortium registration does not change your membership status and renewal will be at the prevailing rate.
  • Student Doctoral Consortium invitees who are first time AIS membersare eligible to receive a complimentary one-year AIS student membership; please contact the Membership Director (membership@aisnet.org) to receive the promo code which you will need to complete your complimentary membership registration. If you are already a current member or have been in the past and will be renewing your membership, Doctoral Consortium registration does not change your membership status and renewal will be at the prevailing rate.
  • Contact the Membership Director at membership@aisnet.org to verify your eligibility and receive the appropriate promotional discount code prior to completing your online conference registration. Apply the promo code during your online registration.

Author/Presenter FAQ
